Sage Pro - Track Orders History

Overview

 

Currently in Sage PRO, we can generate the sales order, invoice and purchase order

individually. But if we want to have the previous version of the sales order or invoice or purchase order we cannot get. We have to keep the hard copy of the previous version.

 

“Track Orders History” provides excellent solution to create a paperless environment  and picking up the appropriate document in a jiffy.

 

Whenever a sales order, purchase order & a invoice is created, a copy for it is generated in the standard Sage Pro report format and stored in the respective directory as set by the user.

Sage Pro to SQL Integration

Incorporate Pro series functionalities through certain functions written outside the Pro series. It would support Pro 6.5 through 7.5 and back end SQL Server and FoxPro databases.  Detailed Description:

  • An external application (in VB .NET) created the following Pro transactions
    • PO receipts
    • SO Shipment
    • Inventory transaction
    • IC Receipts
    • IC Issue
    • IC Transfer
  • The client required SQL statements in ANSI standards to get this done. The SQL statements must be in generic and not dependent on any one particular back-end. They would work across the VFP, SQL Back Ends.
  • The inputs for these transactions that provided to write the SQL statements would PO number, Location id, Quantity etc. for PO Receipts.
  • We have passed two more variables about the company number and the database to be fetched.
  • The whole Process (Purchase Order Receiving, SO Shipment and Inventory Transaction) in PRO that exists in VFP / Wrapper code has been simulated in SQL statements to accomplish the transaction and update the relevant databases.
  • These processes has executed from an external application (VB.NET) using a set of SQL statements.

 VB.Net:

The Client used an external application (in VB.net), which will be used in creating Pro transactions.

 ActiveX DLL:

CI created an ActiveX DLL, which would get the parameters from VB.net; the DLL would process the SQL statements and perform the required action in the database. This DLL could be embedded in to the Clients Program..

 Database:

The Database may be FoxPro and SQL.

 Implementation:

  • A Functional code has been written in a .DLL file
  • This file can be integrated with any platform (like VB, VB .Net etc) by creating the object reference for the same.
  • With the help of this file, we get the parameters from the client’s function (Written in VB.net).
  • And these Parameters are passed on to the statements (that is within the DLL – supported by all back ends).
  • Based on the parameters the requested operations such as Purchase Order Receiving, SO Shipment and Inventory Transaction have been performed.

Interfacing Sage Pro ERP with other ERPs

We had integrated Sage Pro ERP with other 3rd Party application / other ERP’s such as Quick Books, POS, Rental Control management etc.,
Also we did three way integration with Sage Pro, POS , QuickBooks,  POS with Quick Books

Quick Books is an ERP Application widely used by small scale enterprises for business purposes. POS is a point of sale product interfaced to leading ERP applications.

CI has created Application Interface Processing (AIP) program to interface POS with Quick Book Products such as Quick Books Pro, Quick Books Premier and Quick Books Enterprise Editions. This program will check for updates in POS at regular intervals. When this program is initiated data synchronization will be done. SMTP Mailer for Sage Pro

SMTP MAILER

Overview

A sage PRO customer without having “Message Master” module installed cannot send messages through e-mail.

“Sage PRO – SMTP Mail is providing an excellent solution to send e-mails with less time and cost without having Message Master Module installed.

The server name, type, email id and the server authentication are set only once using the setup screen. If Server Authentication is opted then the login user id and password from where the e-mail is being sent is validated.

This provides the new option “Email” in the print dialogue screen for all reports. Hence any report can be sent via e-mail using this.

It supports all the usual options for sending the email along with the attachments. Apart from this, it prompts the option for listing the e-mail id’s from PRO tables like Customer, Ship-To and vendor, so that the user can select the e-mail id’s
from the tables for the specific customer or vendor.

Assumptions:

  • The SMTP server name & address set is valid.
  • Internet is available.
Current Limitations 
It supports only maximum of 3 additional attachment files other that the generated output file for the report.
In the “To”, “CC” & “BCC” column only one address can be entered. It doesn’t support multiple addresses for any of these columns.

Sage Pro – Cash Receipt Application Across Multiple Companies

This enhancement will allow for the normal entry of the cash receipt “Header” info such as the Customer#, Check number, amount, etc.

           

The system would search for all open invoices throughout all the existing companies for that specific customer and display them as noted. The open invoices can be viewed Company, Invoice number & Date wise. The default view will be in Invoice number order so that the oldest invoice within all companies would be displayed first. The header line will allow for changing the sort order of the fields.

Then the Automatic or Manual button could be used to apply the cash receipt. If the Manual option was pressed, the system would allow for a manual input of the amount of Payment / Discount that the operator chose to post against any given invoice.


The “Automatic” application would function in the order of the screen sort. If Automatic was selected, then the Cash Receipt from the previous screen would apply beginning at the top and continuing to pay off all invoices until the Cash receipt amount is exhausted.


If Apply Credit was selected, then the system would search for ALL Credits from ALL companies throughout the system and apply them to the OLDEST   invoices first, WITHIN a company number. 

The resulting screen would display as the default screen did, only with the credits applied and some invoices closed out or partially paid.


Once the payment is applied, the system would then begin the process of going thru all companies and applying the cash, updating the respective customer record in the respective company, posting the Cash Receipt into that company and updating the General Ledger and system files.


Points to be noted

Ø      The Remaining amount (ie the balance amount after applied to the available open invoices) while applying is posted to the current company only.

Ø      The summary button is disabled since, it is for multi-company.

Ø      In case of current company, the GL Account code for debit entry will be the code selected by the user. In case of other companies, it will be generated as the company id  “nnn” in the middle segment and rest of the segments are same as the current company. If the GL account code is invalid for any of the other companies then an message is displayed and the default account code is taken


Assumptions

Ø      All the companies should have the same kind of multi currency format.

Ø      The GL Segments and the general ledger link code for a customer must be same across the companies

Ø      If the customer exists for that particular company then only it will proceed further, if the customer not available in the current company and available in other companies then it will not be considered for the current company.

Ø      The customer should be active for all the companies

Ø      It will be credited to the GL account number for the ARàCash Receipt Screen based on the company that you had logged in.  This number should be available across the companies


Limitations

Ø      Since we are going to get it from multiple companies data, there may be a performance leak  envisaged while making AR cash receipts
